Imperial is seeking a professional, self-motivated Executive Assistant to serve as a high-impact partner to the CEO, operating at the center of executive operations and cross-functional alignment. This role is both a strategic gatekeeper and trusted liaison—responsible for optimizing executive time, driving leadership and Board-level cadence, coordinating complex travel and meeting logistics, and producing executive-ready communications and materials. The ideal candidate is strategic, highly confidential, detail-oriented, calm under pressure, and brings an “all-in” attitude with the ability to work seamlessly across a diverse team.

What You’ll be Doing
Executive Calendar & Strategic Time Management
- Strategically manage a complex, high-volume CEO calendar, aligning scheduling decisions with business priorities and maximizing executive effectiveness
- Exercise strong judgment in protecting focus time, sequencing priorities, anticipating conflicts, and proactively resolving scheduling challenges
- Leverage advanced Microsoft 365 expertise (Outlook, Teams, SharePoint, PowerPoint) to streamline communication, workflow, and executive organization
Executive Meetings & Operational Cadence
- Lead end-to-end coordination of executive meetings across onsite and virtual settings, directing logistics including catering, travel, accommodations, ground transportation, and host communications
- Facilitate weekly and monthly business review meetings by distributing templates and pre-work, ensuring leadership readiness, capturing action items, and reinforcing accountability
- Prepare detailed agendas and accurate meeting minutes; track decisions, deadlines, and follow-ups to ensure execution and alignment
Board & Strategic Planning Support
- Drive preparation and quality control of materials for quarterly Board meetings, strategic planning sessions, and companywide communications
- Produce executive-ready presentations, reports, memoranda, organizational charts, agendas, and briefing materials under tight deadlines
- Coordinate Board logistics and support post-meeting follow-up execution to maintain momentum and accountability
Travel & Expense Management
- Plan and execute all aspects of CEO travel planning, adapting quickly to last-minute changes and shifting priorities
- Oversee executive expense reporting and corporate credit card reconciliation, ensuring accuracy, policy compliance, and timely submission
- Administer company rental car policies and hotel partnerships, promoting compliance and seamless coordination across teams
Cross-Functional Liaison & Special Projects
- Function as a trusted liaison between the CEO and internal/external stakeholders, demonstrating professionalism, discretion, and strong relationship management
- Provide steady, high-level support in a fast-paced environment requiring flexibility, responsiveness, and occasional extended hours
- Contribute to cross-functional initiatives and special projects aligned with evolving organizational priorities
What We Need
- 5+ years of high-level Executive Assistant experience supporting an executive leader (required)
- Associates degree or equivalent (required); business degree preferred
- Advanced proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, SharePoint) and strong working knowledge of Excel/Word
- Extremely high attention to detail and strong quality-check habits (documents, presentations, data accuracy)
- Excellent written and verbal communication skills with strong professionalism and poise
- High level of confidentiality and discretion (required)
- Strong time management, prioritization, initiative, accountability, and sound judgment in a demanding environment
- Strong relationship-building skills and ability to adapt to a diverse team
- Prior marketing and/or financial background (plus)
- Manufacturing experience, preferably apparel/textile industry (plus)
